How do I Send or Receive Large Files?

Monday, October 10, 2011 Katherine Anderson

Does your Email Account Provider only allow you to send up to 10mb files? With mailbox limits increasing to around 5GB, it seems crazy that although you can receive large files, you can't send them.

There are two main reasons why outgoing email limits are created. Firstly not everyone has a high speed internet access and sending a large file slows down other internet connections, especially when using dial-up. Secondly, large files take up space and for email providers, the more space taken up, the more servers and server space they require (more cost).

This type of limitation is fairly normal when it comes to email access and creates the need to have work-arounds when sending large image files, movies or documentation. There are a range of options available though, to help you get information delivered fast -

    File/Folder Compression

There are a number of options for compressing or archiving so that file sizes are smaller. Zipit, Winzip (Mac), Windows Vista Zip, WinRar and StuffIt are software options for file compression and help reduce file size by up to 98% depending on the type of file and software used. Once the information is compressed, you can more easily send the files. Note that the email receiver needs to be able to uncompress the files to access them.

    Large File Sending Software

Email Software solutions like YouSendIt allows registered users to send up to 50GB files and folders for free. It works by uploading your files from the web, desktop or mobile device to the YouSendIt server, sending an email to your customer saying that the file is available and providing a link for customers to use to download the documentation straight to their desktop. With online tracking, security features and a range of plan options, this is an invaluable product that we use daily.

    Create an FTP Folder

Free Programs like DropBox for Mac and Windows, allows you to access files up to 2GB with ease. Any file that you save to your Dropbox will automatically save to all your computers and phone and you can send others links to specific files in your dropbox too.

    Create a Secure Zone

Using Adobe Business Catalyst CMS, we can easily setup one of multiple Secure Zone where you can add your files, folders, movies and images and then issue a username and password for others to access.
